Privacy policy
Last updated November 7, 2026
Casaway Capital LLC, doing business as Dental Document ("we," "us"), operates cusps.bot and the Cusps application (together, the "Service").
1. What this policy covers
This policy describes how we collect, use, and share information when you visit cusps.bot, request a demo, request course materials, or use Cusps as a practice owner or team member, and when someone contacts a practice's bot by email, text, call, Slack, or Telegram. It does not cover the data practices of third-party services you connect to Cusps, such as your email, accounting software, or supplier accounts; those are governed by their own policies.
2. Information we collect
- Information you give us: your name, practice name, work email, number of locations, and anything you write in a demo request or support message.
- Course download requests: the email address you give to receive course materials, such as the Dental Bot Boss Playbook and comparison chart. We add it to our mailing list for related updates, and you can unsubscribe at any time with the link in any email.
- Account and practice information: your practice's locations, team members and their work roles and work contact details, approval settings, and the business information you enter, such as supplies, equipment, vendors, policies, and documents.
- Messages with bots: the content of emails, texts, calls, and chat messages sent to or from a practice's bots, the phone numbers and addresses involved, and call recordings and transcripts.
- Connected accounts: when you connect a service such as your email, calendar, accounting software, or a supplier account, we receive the data that service provides under the permissions you grant. Access tokens and saved logins are stored encrypted. Saved logins are provided to a bot's cloud computer only at the moment it signs in and are not shown to AI models.
- Cloud computer activity: what a bot does on its cloud computer, including screens it works on and the record of any time a person watches or takes control.
- Usage information: log data, device and browser information, and product analytics about how the Service is used.
3. Patient information
Cusps is built to run without patient data. It takes no practice management connection and is not designed to receive patient records. We check uploads and incoming messages and set aside and remove patient information we find. Practices agree not to send patient information to the Service.
4. Employee and candidate information
When a practice uses Cusps for people work, the Service holds work-role information about team members and candidates, such as names, work contact details, roles, training, licenses, time off, and reviews. The Service is not designed to hold government identification numbers, Social Security numbers, dates of birth, or bank or card numbers. Records about pay, discipline, and separation are limited to the practice's owners and managers.
5. How we use information
- To provide, operate, and improve the Service.
- To carry out the work you direct and approve, using the connected accounts you authorize.
- To communicate with you about your account, demos, and support, and to send course materials and updates you asked for.
- To protect the Service, prevent misuse, and enforce our terms.
6. How we share information
We share information with service providers who help us operate the Service (hosting, email, messaging and phone, cloud computers, AI model providers, and analytics) under contracts that restrict their use of the data; with third-party services you connect, as directed by the actions you approve; when required by law; and in connection with a merger, acquisition, or sale of assets. We do not sell personal information. We do not share mobile phone numbers or text messaging consent with third parties for their marketing.
7. Your choices and rights
- Revoke any connected account or saved login from the Service at any time.
- Request access to, correction of, export of, or deletion of your information by emailing contact@cusps.bot.
- Reply STOP to a bot's text messages to stop receiving texts from that number.
- Opt out of marketing email using the link in any message.
8. Data retention and security
We retain account information for as long as your account is active and as needed to meet legal obligations. We use encryption in transit and at rest, access controls by role and location, and audit records of actions taken in the Service. No method of transmission or storage is completely secure; if we learn of a breach affecting your information, we will notify you as required by law.
9. Children
The Service is for dental practices and is not directed to children under 13. We do not knowingly collect information from children.
10. Changes and contact
We will post any changes to this policy on this page and update the date above. Questions: contact@cusps.bot.
